CORPORATE COORDINATOR - ADMINISTRATION AND MAINTENANCE

Job Objective/Summary

Maximise the performance of a portfolio of properties through effective and accurate administrative support. 

Ensure all performance targets are met whilst complying with contractual, legislative and client requirements.

Provide operational support to Portfolio Manager as required.

Duties & Responsibilities

In accordance with the Procedures Manual (as amended from time to time):

• Assisting the letting process to minimise voids and maximise rents. Agreeing Letting Agent Instructions where required. Referencing potential tenants, preparing tenancy agreements and managing move-ins and move-outs. Dealing with inventories, dilapidations and deposit returns and utility and council tax issues as required.

• Liaising with the portfolio accounts team providing data and information to ensure the client and tenants’ accounts are maintained accurately and efficiently. 

• Taking maintenance calls, evaluating responsibility and referring to a line manager where necessary. Instructing contractors to ensure that maintenance work is carried out in a timely manner and cost effectively. Ensuring that statutory requirements, including Health and Safety, are adhered to at all times

• Ensuring that client and internal mandates are complied with, and authorising and approving invoices and processing insurance claims.
• Liaising on a regular basis with tenants, letting agents, contractors, client accounting team and external clients, assessing and resolving enquiries, queries and problems as they arise in a timely and effective manner.

• Collecting and verifying data and ensuring that the property management system is accurately updated and that the notes system reflects action taken at all times.

• Liaising with the Portfolio Manager and Senior Administrator to complete rent reviews to ensure that rent is always the maximum achievable.

• Assisting the Portfolio Manager and Senior Administrator in supplying accurate data for client reports in the required format as agreed.

• Referring all complaints to a line manager on the date of receipt and dealing with the complaint in accordance with prescribed company procedures and timescales.

• Attending training courses as required and adhering to company operational and administrative procedures at all times.


Other duties
• Attend staff meetings and training as required
• Maintain an awareness and observation of Fire and Health & Safety Regulations
• Carry out any other duties as are within the scope, spirit and purpose of the job, the title of the post as requested by the line manager or Head of Department/Division

 

Person Specification

Essential requirement 

Qualifications
GCSE in Maths and English (or equivalent)

Experience

Experience in administration or customer services 

Knowledge and Skills

Good written and verbal communication skills
 
Knowledge of MS Office – Word, Excel, Outlook 

Personal Qualities

The ability  to work constructively as part of a team

Desirable requirement

GCSE in Maths and English – grade C or above (or equivalent)

Previous property management experience

Experience in a property maintenance role

Knowledge of property/letting industry

The ability to organise own workload

The ability to work on own initiative

The ability to work under pressure

Additional Information

37 hours per week Mon - Fri, two roles available – one permanent role, one fixed term until end December 2010 to cover maternity leave.

Salary: £16,000 pro rata per annum
